How Jester's Touch Improved Their Profit and Reduced Client Charges

Free Print Templates and HIPAA Compliance



Excess administration drains the profit of all industries. Medical transcription may be one of its worst victims as MT's depend on administrative speed and efficiency to process work and service clients effectively.



Jester's Touch, a medical dictation, consulting and transcription firm serving clinical clients nationwide for the past 12 years, has, until last year, relied on toll-free phone connections, email, PC Anywhere™, and WinFax programs to stay connected and process clinical transcription reports. Patient information was faxed to each MT and demographic details were typed into each, individual report.



The Requirements: With a highly decentralized workforce, communication grew costly and inefficient as the company expanded. Jester's Touch needed an information network capable of spanning multiple client and transcription locations and platforms while simultaneously complying with forthcoming HIPAA security regulations.



In addition to communication needs, our firm required immediate productivity improvements. MT's were spending non-billable hours each day troubleshooting technical issues with clinical offices. Whether clients lost transcription documents in their overcrowded inboxes or were simply unaware of the attachment downloading procedure, technical phone calls were stealing precious hours from staff production. As this demand increased, billable hours decreased. Clearly customer feedback of this magnitude had to be addressed.



A business associate recommended EMDAT. This colleague's firm recently converted MT's and clinical clients onto InQuiry®, an electronic, fully automated, web-based transcription interface. In doing so, her company greatly reduced repetitive administrative time, improving the bottom line – profitability.



Upon further research, logging, connectivity, and HIPAA compliance solidified our decision. Jester's Touch selected EMDAT in early 2003.



The Custom Conversion: Although we immediately migrated MT's to InScribe®, the EMDAT MT workstation interface, clinical customer offices were gradually converted onto InQuiry®, the similar EMDAT clinical office workstation interface. Six weeks were dedicated to each client migration. Jester's Touch personally addressed customization and technical transition issues one-at-a-time.



Customization: While some offices prefer a turnkey solution, others have specific functioning requirements and software integration needs. Working with dedicated EMDAT management and technical support, Jester's Touch integrated client offices onto the network flawlessly regardless of existing patient registration software platforms. Recently, Medisoft, a Houston-based billing software program, was integrated with the EMDAT network ensuring all patient demographics synchronize into pre-fill transcription fields.



The Automated Results: Productive Administration. MT efficiency has dramatically improved. Thus far, each transcriptionist has eliminated two hours minimally per day on both billable and non-billable administrative tasks. Technical troubleshooting calls from clients have been nearly eliminated and staff time is redirected to straight report generation. Our clients are remarkably impressed with the improved interface and simplicity.



Secure Data Storage and Transfer: Electronic Document storage has shifted from MT hardware to EMDAT servers, reducing space constraints and improving computer performance and information security in turn. Transcripts are automatically backed-up and securely available online for historical viewing. Further, migrating away from email and FTP data transfer into a single, secure data interface brings our firm and our client transactions into complete HIPAA compliance.



Efficient Line Count: Sylvan Sylcount, our previous medical count software, didn't easily generate reports for the quantity of work produced at Jester's Touch. Simple line counts tasks monopolized computers for hours at a time, often ending up in computer freezing and crashing. Historical counts were pulled manually from detailed, paper billing statement files.



Jester's Touch now utilizes automatic, real-time line count statistics within the InQuiry® interface. EMDAT calculates per line count and generates detailed reports on company charges, EMDAT fees, and net profit per line. Line count options have also expanded to include a 65-character line and customization for two-line signatures.



Increased Net Profit: Because our clinicians primarily dictate via the telephone, toll-free phone charges were previously absorbed as a cost of sale. Courier services, transportation expenses, and transcription routing further drained our bottom line.



Telephone dictations are now securely integrated into the Application Suite using 128-bit encryption. Dictation is channeled directly to the transcriptionists desktop. Toll-free phone and transportation expenses have been reduced.



Free Macros: Using EMDAT automated print template technology, Jester's Touch has been able to automatically generate header and footer macros for all clients. Because this technology is integrated in our new system automatically, our company is able to pass the savings directly to our clinical customers. This service gives an added advantage over our competition.
